How to Get The Most out of Meetings

Most business meetings are wasted. Team meetings would often be more productive as one on ones, one on one meetings are often just random rambling conversations.

You would call a meeting if you wanted or needed the involvememt or committment of a group of people to acheive a specific aim.

If you do feel you need a meeting here are some guidelines to make sure you get the most out of it.

1) Be clear in your mind what you want the meeting to acheive. This is your success measure, if you walk out without at least getting this you will have faile dto meet your objective

2) Designate a set date, time, and suitable place which can accomodate everyone who needs to attend and ensure everyone confirms their attendance.

3) Distribute a detailed agenda ahead of the meeting and ask everyone to prepare relevant information that may be needed. Have a definate start and end time to allow other to plan around the meeting.

4) Designate a chairperson ( probably the person calling the meeting ) and have this person control the meeting and run through the agenda.

5) Insist on a positive mind set. There should be no 'Can't do' people just people who advise of hurdles we may encounter along the way and how to overcome them.

6) Be prepared to take some items outside the meeting if they require more discussion to resolve.

7) Take minutes and distribute them soon after the meeting. Minutes should always include action items showing who is responsible for taking the action and the timescale agreed to complete. If there are no action items coming out of a meeting there was no need for the meeting!

8) Before closing read back the minutes and action responsibilities so there is no doubt or misunderstanding over who should be doing what.

9) Don't have an 'AOB' slot unless this is a general catch up meeting.

10) Close the meeting and thank the delegates.
